  • How can I get an IST e-mail account?
New Students

Normally, the e-mail account is activated when registering any new IST student.

Community linked to IST

Since 2006 the entire community linked to IST (Teachers, Employees, Researchers, Scholarship Holders, and other collaborators) has access to a Técnico email address, after the beginning of activities related to the link established with IST.

Activate account

IST users that do not have an e-mail account can activate their own account on the self-service page or issue the respective request, by sending an email to si@tecnico.ulisboa.pt, with the name and the user’s IST ID.

An external or invited person, with an invitation for temporary access to computer services, should go to the DSI reception to activate the e-mail account.

  • How to configure a vacation auto-reply message using the Webmail service?

To set up an automatic vacation reply message from the IST email, access webmail and follow the following procedure:

  1. Click on the “Settings” action button in the upper right corner.
  2. Select the “Vacation” tab.
  3. In the “Reply message” tab, fill the fields:
    1. Subject – subject of the message to be sent
    2. Body – content of the message to be sent
    3. Vacation start – insert the vacation’s start date
    4. Vacation end – insert the vacation’s end date
    5. Status – enable this option, by changing its status to On.
    6. Click Save.

 

  • How to configure an absent auto-reply message using the Webmail service?

To set up an automatic reply message from the IST email, access webmail and follow the following procedure:

  1. Click on the “Settings” action button in the upper right corner.
  2. Select the “Filters” tab.
  3. In the “Filters” column, in the bottom left corner of the screen click on the action button + (New filter). In the “Filter definition” content area, fill in the “Filter name” field with the name you want to give the filter.
  4. In the “Rules for Filters” content box, click the radio button and select “all messages”.
  5. In the “Filter Actions” content box, choose the “Reply with message” option via the checkbox. Then fill in the fields:
    1. Message body – content of the message to be sent
    2. Message subject– subject of the message to be sent
    3. Reply sender address [Optional] – if you wish that the sender’s response to the automatic message is redirected to another e-mail, you can insert in this field the desired e-mail (for example a personal e-mail).
  6. Click Save.

The auto-reply message setup is complete.

Disable the automatic reply message

When you wish to disable this filter, it is necessary to repeat the procedures relating to steps 1 and 2. Then, in the “Filter Definition” content area, tick the “Filter Disabled” field.

 

  • What is the maximum size of a message in IST’s mail service?

A message in IST’s mail service is limited to the maximum size of 25MB (including attachments), which corresponds to the e-mail size after being encoded by the e-mail application used. This limit is valid for e-mail exchanges between users with electronic mailboxes in IST’s central servers.

  • The maximum size of the attached files is approximately 18,75MB.

If you wish to send larger files, it is recommended the use of the FCCN’s file share service FileSender.

 

  • What types of files can be sent attachments in e-mail?

The email servers from IST do not allow the distribution of email attachments that correspond to executable files, as these types of files are currently associated with the spread of malware. Thus:

  • All emails that include executable attachments with one of the following suffixes will be filtered: ade, adp, bas, bat, chm, cmd, com, cpl, crt, exe, hlp, hta, inf, ins, isp, js, jse, lnk, mdb, mde, msc, msi, msp, mst, pcd, pif, reg, scr, sct, shs, shb, vb, vbe, vbs, wsc, wmf, wsf, wsh, iso. Files whose name contains curly braces ( { } ) will also be filtered.
  • The list of attachments that are subjected to filtering does not include the file types commonly used in academic applications (such as MS Office documents, images, audio and video files, pdf, postscript and .zip, .tar, .tgz or .rar files) – Right now, all MS Office file types that contain Macros are filtered.
  • In the case of filtering attachments, the messages will not be delivered to the recipient, and the sender will be notified of this fact and the reason for the filtering performed.
  • If users intend to receive files of one of the filtered types by email, they must ask the sender to send these files inside a zip, rar or tgz file format. The resulting file will not be inspected by the filtering system and can be used to send files with any extension.

 

  • How can I mark an e-mail address as SPAM in Técnico’s webmail?

To configure an e-mail address as SPAM and block any messages coming from this address, access webmail and follow the following procedure:

  1. Click on the “Settings” action button in the upper right corner.
  2. Select the “Filters” tab.
  3. In the “Filters” column, in the bottom left corner of the screen click on the action button + (New filter). In the “Filter definition” content area, fill in the “Filter name” field with the name you want to give the filter.
  4. In the “Rules for Filters” content box, check the box “matching any of the following rules”. In the selection box choose “Subject”, “contains” and write the e-mail address to be considered as SPAM.
  5. In the “Filter Actions” content box, choose the “Delete message” option via the checkbox.
  6. Click Save.

The configuration is concluded. If you wish to disable this filter, it is necessary to repeat the procedures relating to steps 1 and 2. Then, in the “Filter Definition” content area, tick the “Filter Disabled” field.

 

  • How can I get a mailing list for a unit, department, project, service or event?

In order to create a mailing list for a given unit, department, project, service or event it is necessary to have administration privileges in the respective group page in the ciist admin website.

There are some exceptions where you can create a mailing list without belonging to a group. In this case, contact DSI by sending an e-mail to si@tecnico.ulisboa.pt with the desired request. The e-mail must contain the following information:

  • Name of the person responsible for the unit, department, project, event or service
  • Name of the group to which the mailing list will belong to
  • Name of the e-mail to create
  • Name of the group administrators
  • Name and respective e-mail addresses of the people to add to the mailing list.

 

  • What limits do I have on the number of emails I can send?

Currently, each user can send e-mails to a maximum of 500 recipients per day using its e-mail account. In addition, there is a restriction that imposes a limit of 200 e-mails per 5 minutes and 450 e-mails per hour.

These limits were motivated by the enormous difficulty in combating SPAM (unsolicited and undesirable mail). In order for the IST no to be affected as a whole, these restrictions are necessary to ensure a good e-mail service is provided.
